About the Client
Our client is a large U.S.-based commodities trading company headquartered in Texas. Active in oil and other bulk goods, they operate on a truly global scale with offices in the Americas, Europe, Africa, the Middle East, Asia, and Australia. As a 24/7 trading business, they need their legal and tax processes to be just as flexible and up-to-date as their operations.
The challenges
Managing their legal entities had become an overwhelming task. With about 90 entities across more than 30 countries, the team had to maintain and update complex legal structure charts manually. This created several pain points:
• Frequent updates (several times per quarter) made it difficult to keep documents accurate and consistent.
• Manual edits (drawing lines, moving boxes, updating labels) wasted significant time and introduced errors.
• High demand for different versions (by country or group) meant recreating multiple charts from scratch.
It became clear that the company needed a smarter, faster, and more reliable way to manage and present its legal entity structure.

The overall goal was to simplify the entity management process and reduce the manual workload. To achieve this, we defined the following objectives:
• Primary Objective: Create a centralized system that keeps all legal entities up to date with minimal manual work.
• Secondary Objective: Enable quick, customized exports of structure charts (e.g., per country, full group, or custom views).
• Tertiary Objective: Ensure continuity and provide ongoing support, so the system remains reliable even when the client team lacks time.

From the start, we focused on turning the client’s manual, repetitive process into a streamlined workflow supported by automation. Here’s how we tackled it:

Step Two: System Setup & Visualisation
Coperitas configured the Legal Entity Management System (LEM), enabling automatic visualization of their entity structure. Instead of redrawing diagrams manually, the company can now generate consistent charts directly from the system.
Step Three: Customized Exports
We implemented a PDF export function, allowing them to instantly create tailored structure overviews—whether a full global tree or a country-specific view such as Brazil.
Step Four: Review Rounds
Throughout the process, we held review sessions, validating whether the solution reflected their expectations and making adjustments when needed.
Step Five: Handover & Support
We delivered the setup ready to use, but stayed closely involved, offering ongoing assistance and ensuring the company could rely on us whenever updates or questions arise.
