A story of how we helped prepare a company for the future. All of this with the help of the Coperitas “Document Creator”. What is their story and how did this happen? You can read it down here!

About the client

The company in question is a maritime company headquartered in the Netherlands. They specialize in delivering reliable and tailored towage services and related maritime solutions for onshore and offshore terminal operations. With a steadily growing company of over 5,000 employees, they play a key role in the global maritime sector.

Before working with Coperitas, their tax process relied heavily on manual document generation and repetitive comparisons with older versions. This labor-intensive workflow motivated them to explore automation for efficiency and reliability.

The biggest challenge is preparation

Even though they were not facing immediate challenges, they understood the importance of preparing for the future. Their leadership proactively explored how Coperitas could help them automate key processes and reduce manual work in the coming years.

Although their manual processes for creating transfer pricing documents worked, they required significant time and effort, especially when updating templates and ensuring accuracy year over year. These pain points ultimately led them to choose the Coperitas Document Creator as a long-term solution.

Their goal

In short, the goal was to enable their small team to manage transfer pricing documentation independently, efficiently and automatically. This ensured a future-ready approach without overcomplicating their current operations.

Primary Objective: Equip the team to handle transfer pricing documentation independently and in-house.
Secondary Objective: Maintain a cost-effective approach by minimizing external support and maximizing internal autonomy.
Tertiary Objective: Streamline their document creation workflow with the Coperitas Document Creator, reducing time spent on repetitive manual tasks.

Our approach

Knowing what they wanted and the conditions they set for it our team went to work. In just 2 steps we could fulfill their needs.

Initial Setup

We used the Coperitas Document Creator to upload the necessary entities and intercompany transactions, create intercompany mappings, upload forms, and set up validation fields for different tax years. Our team also built and styled the templates, ensuring they would minimize effort for future updates. This created a strong and clear starting point.

Training Sessions

We conducted 4-5 practical online sessions of 30-60 minutes training sessions to familiarize the team with the transfer pricing process and tools. These session completely focused on practical, hands-on application.

With the combination of targeted training and a solid system setup, we enabled the client to handle transfer pricing documentation internally using the Coperitas Document Creator. Whenever needed, we provided additional support for tasks they didn’t have time for.

The results

After completing this process, we were proud to deliver exactly what they aimed for! They were then ready to make transfer pricing documentation on their own using Coperitas. These were the results we accomplished with them:

  1. Independence: Our client gained the ability to manage transfer pricing documentation internally, significantly reducing the need for external involvement.
  2. Cost-Effectiveness: By using a tool and being able to complete this task on their own, they minimized costs while maintaining control over the process.
  3. Foundation for Growth: By streamlining their process with the Coperitas Document Creator, they now have a scalable setup that makes it easy to document any new country they expand to.

Conclusion

Together with the company’s tax team, we at Coperitas built a practical, scalable, and future-proof workflow, giving them the autonomy and tools to manage their transfer pricing documentation with confidence.
