A story about taking the future into your own hands. We helped them tackle their transfer pricing challenges in-house. No need to rely on expensive alternatives.
What’s the story behind it, and how did it all come together? You’ll find out right here!

About the client

This company is a leading HR provider based in Belgium. The group consists of eleven companies and represents over 50 brands, with a strong focus on Engineering & Consulting and Specialized Talent Solutions.

They had received documentation from an advisor, but wanted to take that process and scale it up, way up, and at a lower cost. The best way to do that? Bring it in-house, of course!
Could this process be done efficiently? With Coperitas, it could.

The challenges

They came to us with a Local File created by their advisor. It was slightly outdated, but nothing a few tweaks couldn’t fix. The bigger challenge? Scaling it across all their entities.
And they wanted to handle the process themselves using Coperitas. That way, they’d keep things cost-efficient and stay in full control when it came time to review or update the content.

Their goals

With a clear vision and a bigger goal of independence in mind, they broke it down into three key objectives:

Primary Objective
Update the existing Local File template for future use.

Secondary Objective
Internally create and review documentation for current and upcoming entities.

Third Objective
Keep the whole process cost-efficient!

Our approach

They already had a head start with an existing document. Here’s how we tackled the project:

  1. Review
We began by reviewing their current documentation to get it ready for automation.
  2. Data Gathering
Next, we set up a smart questionnaire in Coperitas, designed to make data collection smooth and easy.
  3. Processing the Information
We linked every question to the right section in the documentation for automatic processing. We also drafted suggested answers based on the information our client had already provided.
  4. Client Review & Finalisation
We held a training session to review all answers together. By the end of that session, they walked away with finalised, ready-to-go documentation.

What we accomplished together

After wrapping up the project, they were fully equipped to manage their transfer pricing documentation independently, efficiently, accurately, and at a lower cost. Together, we achieved results that directly aligned with their goals:

  1. A Future-Proof Template
Their Local File template was fully reviewed, updated, and optimized for automation. This means their team can now reuse it each year with minimal adjustments, ensuring consistency and compliance across all entities.
  2. In-House Control and Efficiency
With Coperitas, they can now collect data, review, and finalize documentation completely in-house. The automated questionnaire and linked templates turned a previously manual process into a smooth, structured workflow.
  3. Cost-Efficient Scalability
By reducing dependency on external advisors, they’ve achieved significant long-term savings. And with a scalable setup in place, expanding documentation to new entities or countries is now quick, simple, and sustainable.

the results

We’re happy to say: mission accomplished!
They now have everything they need to create their documentation independently. And of course, if they ever need a hand, we’re just a call away.
