About the Client

Vebego is an international service provider active in facility services, healthcare and cleaning services. They are well known in sectors such as cleaning, landscaping and healthcare, with operations across five countries and more than 110 legal entities. Their size and diversity bring complexity to tax and compliance processes, making efficiency and oversight crucial.

The challenges

When Vebego approached us, they were facing several challenges in managing their transfer pricing (TP) requirements:

Updating TP documentation

TP compliance obligations were not fully in scope and needed a renewal to prevent risk exposure.

Monitoring

There was a demand for an international overview regarding intercompany services and charges to increase monitoring capabilities.

Complex entity structure

With over 110 entities, maintaining an up-to-date overview manually was nearly impossible.

Limited TP experience

While the finance team was strong, there was limited in-house TP expertise, leading to reliance on external advisors.

The overall goal was to manage all TP related tasks like documentation and monitoring efficiently in one system, with the flexibility to grow internal knowledge over time.

  • Primary Objective: Set up a complete TP documentation process using the Coperitas Document Creator (master file and local files).
  • Secondary Objective: Implement monitoring capabilities through our Monitoring & Insights modules, including financial updates, CbCR data and TP deadlines.
  • Tertiary Objective: Enable Pillar 2 Safe Harbour reporting within the Coperitas environment for future compliance needs.

Our Approach

From the beginning, we focused on simplicity, clarity, and continuous support. Together with our business partner, we designed the following project plan:

Step One: Kick-Off Meeting

Together, we aligned roles, responsibilities, and priorities. The project was split into phases to make it manageable.

Step Two: Documentation Setup

We used the Coperitas Document Creator to configure templates and upload entity data, to enable automatic creation of TP documentation combined with a questionnaire functionality for ease of use.

Step Three: Monitoring Implementation

Financial data and compliance deadlines were uploaded into the Coperitas environment in order to ensure effective monitoring of data in one overview, including CbCR data. Furthermore, a workflow management system was set up that includes automatic email reminders.

Step Four: Pillar 2 Safe Harbours

We introduced the Coperitas Pillar 2 module, giving Vebego clear insights into their Safe Harbour compliance status.

Step Five: Hands-On Training & Support

By joining Vebego’s internal Teams’ environment, we had a direct line of communication to support them directly, showing staff how to import data, run exports, and work with the platform step by step.
